We have updated NuMetric’s governing documents and introduced a new Subscription Expiry and Account Access Policy to provide clearer information about subscription expiry, account access, Customer Data retention, backup locations and business-continuity arrangements.
What has changed?
1. New Subscription Expiry and Account Access Policy
We have introduced a dedicated policy explaining how account access changes when a paid NuMetric subscription expires or is not renewed.
The Policy defines four account stages:
Active: Normal access according to the subscribed plan and assigned User permissions.
Expired: Grace: Full access continues from the Subscription Expiry Date through Day 8.
Expired: Suspended: From Day 9 through Day 180, the Account Owner receives read-only access to Sales, Purchases, Accounting and Reports, including available report generation and export. Other Users cannot access the organisation’s account.
Expired: Archived: Beginning on Day 181, the Account Owner’s access is limited to Profile Management, User Management and Subscription within Settings. Operational modules, records and reports are inaccessible.
The Policy also explains:
The access available to the Account Owner and Other Users;
Renewal and restoration of account access;
Report-generation and export availability;
The distinction between account suspension, archiving and deletion;
Customer responsibilities for exporting legally required records; and
The continued protection and retention of Customer Data.
Subscription suspension or archiving restricts access but does not automatically delete the account or Customer Data.
2. Terms and Conditions Update
We have updated the Terms and Conditions to align them with the new Subscription Expiry and Account Access Policy.
The principal changes include:
Section 6.3 – Data Retention and Account Access: Clarifies that Customer Data is not automatically deleted when a subscription expires, becomes Suspended or enters Archived status. It also explains that retaining Customer Data does not guarantee continued platform, reporting or export access.
Section 7.3 – Non-Renewal, Subscription Expiry and Account Access: Defines the Grace, Suspended and Archived stages and the access available during each stage.
Section 7.4 – Data Retention Following Non-Renewal: Clarifies how Customer Data is retained following subscription expiry and distinguishes data retention from continued account access.
These changes improve consistency between NuMetric’s subscription lifecycle, account-access controls, data-retention practices and customer responsibilities.
3. Privacy Policy Update
We have updated the Privacy Policy to provide more accurate information about backup locations and NuMetric’s disaster-recovery and business-continuity arrangements.
Section 7.1 – Data Hosting and Multi-Region Processing
The Policy now clarifies that encrypted operational backups are held in:
The United States;
France; and
The Netherlands.
Appropriate safeguards continue to apply to international data transfers in accordance with applicable data-protection requirements.
Section 10.3 – Disaster Recovery and Business Continuity
The continuity arrangements have been updated to accurately describe:
Database replication across multiple availability zones;
Redundant storage, network and compute resources;
Encrypted daily backups;
Backup retention aligned with NuMetric’s data-retention standards and legal obligations; and
A documented business-continuity and disaster-recovery programme, including scheduled recovery exercises and recorded results.
The existing safeguards for optional AI Assistant connections remain unchanged, including authenticated, read-only and rate-limited access with per-request access logging.
What does this mean for customers?
These updates provide greater transparency about:
What happens when a subscription expires;
When account access becomes restricted;
How long report generation and export remain available;
How retained Customer Data continues to be protected;
Where encrypted operational backups are held; and
How NuMetric manages business continuity and disaster recovery.
These changes do not affect Customer ownership of Customer Data. NuMetric continues to protect retained Customer Data in accordance with its contractual, security, privacy, continuity and applicable regulatory obligations.

Subscription Expiry and Account Access Policy.
